AI processing notice

This notice supplements the Privacy Policy for optional AI features in ParentLedger (including Ryno and related assistants).

1. What AI does

Depending on your role and plan, AI may help with:

  • answering questions about matter content you can already see;
  • drafting or summarizing messages and notes;
  • expense / receipt assistance;
  • attorney workspace helpers (calendar suggestions, matter Q&A).

AI output can be incomplete or incorrect. It is not legal advice and does not replace your judgment or counsel.

2. What data may be sent

When you use an AI feature, we may send prompts that include matter-derived text (for example message excerpts, expense metadata, or questions you type) to the model provider. Engineering minimization can strip or tokenize certain sensitive patterns (such as some medical phrases or child-name tokens) when those controls are enabled. Minimization reduces risk; it does not make AI processing risk-free.

3. Providers and regions

Current production AI uses Google Generative AI (Gemini). Inference region configuration is global (not an EU-only guarantee). ParentLedger Cloud Functions that assemble prompts typically run in us-central1. See Subprocessors.

4. Automated decisions

ParentLedger AI is designed to assist humans. It is not intended to produce solely automated legal or credit decisions with legal effects about you without human involvement. Scoring-like outputs, if shown, are advisory only.

5. EEA / UK posture

As of 2026-08-31, ParentLedger offers AI features to users in the EEA and UK when you choose to use them (for example by opening Ask Ryno). This is a product choice โ€” not a claim of GDPR or EU AI Act certification.

  • Enabled: Ryno and related AI assistants for EEA/UK users who use those features.
  • Minimization: medical-pattern stripping, child-name tokenization, and GPS redaction remain active on AI prompts where configured.
  • Transparency: first-use in-app disclosure before AI chat; this notice and the Privacy Policy describe providers and transfers.
  • Your choice: you can stop using AI, use in-app disable where available, or contact support for privacy requests.
  • Kill-switch: reserved for emergencies โ€” currently off so AI remains available in EEA.

6. Your controls

  • Decline or stop using AI features.
  • Use in-app AI disable / preference controls where available.
  • Report problematic outputs via in-app feedback where available.
